From install to your first reconciled invoice.
Seven steps, about fifteen minutes. You need a Shopify order with at least two items so you can ship it in parts.
-
Install the app and choose a plan
Qixeo Invoice opens inside your Shopify admin, so there is no separate login. The first screen is Plans. Pick one and select Start 30-Day Free Trial; Shopify asks you to approve the subscription, and nothing is charged until the trial ends.
Every plan creates one invoice per shipment. Starter covers up to 50 invoices a month; Growth, Pro and B2B are unlimited and add features on top. You can upgrade at any time from the same screen.
Good to know There is no free plan. Without an active subscription the app sends you back to Plans. -
Add your company information
Open Settings. The first section, Company Information, holds the name, address, phone and email printed on your invoices and shown on customer-facing pages.
Settings is one long page with a Jump to list at the top and a single Save button in the title bar. Save before you leave.
-
Tell buyers how to pay you
In Remittance Details, fill in whichever of these apply: bank name, account name, account number, routing number, who checks are payable to, the check mailing address, and any payment instructions (for example, "Include the invoice number on your payment").
These appear in the Remit To block on every invoice, which is where an accounts-payable team looks before paying by ACH or check.
-
Set numbering, terms and shipping
Still in Settings, under Invoice Settings:
-
Invoice number prefix and
Shipment suffix format decide how numbers look. The
defaults give
INV-1042-A,INV-1042-Band so on for order #1042. - Payment terms is your default, from Due on receipt to Net 90. An order that carries its own Shopify payment terms uses those instead.
- Shipping allocation decides which invoice carries the order's shipping charge. The default puts all of it on the first shipment.
Leave Invoice trigger (in Invoice Creation) on When a fulfillment is created. That is the setting that gives you an invoice per shipment.

Decide how invoices reach customers
Under Email Notifications, Auto-send invoices to customers is off to begin with, so nothing is emailed until you send it yourself. Turn it on when you are happy with how your invoices look.
Set From name and Reply-to email either way, so replies from customers come to you.

Ship part of an order
In Shopify, open an order with two or more items and fulfill only some of them. For the fullest result, use an order that has a customer with an email address, a PO number and payment terms.
Go back to the app and open Invoices. A new invoice is there, covering only what you shipped, with its share of tax and discounts. Open it and check the PO number, terms, due date and Remit To block, then download the PDF to see what your customer will receive.
Where the PO number comes from Qixeo reads the order's Shopify PO number. If that is empty it looks for an order attribute namedPO Number,PO#orPurchase Order. -
Send it, get paid, ship the rest
A new invoice starts as a Draft. In its Actions card, select Approve, then Send Invoice to email the PDF to the customer. (With auto-send on, the invoice is emailed as soon as it is created and you skip both.)
When money arrives, fill in the Payments card: amount, date received, method and a reference such as the check number, and select Record payment. A part payment moves the invoice to Partially paid and shows the balance due; clearing the balance moves it to Paid. Every step is logged on the invoice's timeline.
Now fulfill the remaining items in Shopify. A second invoice appears, and because it is the last one for the order it is calculated as the order total minus everything already invoiced. The set always adds up to the order total, to the cent.
