Net 30 invoices on Shopify that chase themselves.
Shopify payment terms become the invoice due date, the PO number leads the email subject, and staged reminders go out before and after the due date until the payment is recorded.
Selling on terms through Shopify
Shopify lets you set payment terms on an order, but the follow-through is on you: a document the buyer's AP team will accept, a record of what has been paid, and someone remembering to send the reminder. Qixeo Invoice handles each of those from the moment a shipment leaves.
Due dates from your terms
every planThe due date on each invoice comes from the first of these that applies:
- The payment terms on the Shopify order, if it has them.
- Your default terms in the app: Net 15, 30, 45, 60 or 90.
With the default left on Due on receipt and no terms on the order, the invoice has no due date: it is never flagged overdue and never gets a reminder. Invoices you create manually use your default terms.
PO numbers where AP looks for them
Nothing to switch on. Qixeo takes the PO number from the Shopify order's PO field, or from an order attribute named PO Number, PO, PO#, Purchase Order or Purchase Order Number. It is printed on the invoice, shown in the app, and starts the email subject line together with the invoice number, so it is the first thing an accounts-payable inbox sees.
The Remit To block prints your bank name, account and routing numbers, who checks are payable to, the check mailing address, and any payment instructions, on every invoice and statement.
Recording the payment
When a customer pays by ACH, check or wire, record it on the invoice: the amount, which can be less than the balance, the date received, the method, and a reference such as the check number or ACH ID. The invoice moves to Partially paid or Paid, and the PDF gains Amount paid and Balance due rows so a re-sent invoice shows what is still owed.
An Overdue badge appears on any sent invoice past its due date. Once every invoice for an order is paid, the app offers to mark the order as paid in Shopify so the two systems agree.
For buyers who pay by card, Growth and above can create a Shopify checkout link for a single shipment's invoice and email it to the customer.
Reminders that stop when the money lands
b2bReminders email your customer before and after the due date, with the invoice PDF attached and a link to view and pay. The schedule is a list of days relative to the due date; the default is 3 days before, the day itself, 7 days after and 21 days after.
- An invoice is reminded only if it is approved, sent or partially paid, has a due date, has a balance, and has a customer email.
- Each stage is sent once. After the last one, reminders stop.
- Reminders stop the moment the balance is cleared, and never chase credit notes.
- Reminders are checked once a day, and each one is logged on the invoice's timeline, so you can see exactly what the customer received.
Plans
Payment terms, PO numbers, the Remit To block and payment recording are on every plan. Payment links and Shopify Flow are on Growth and above. Automated reminders, the receivables dashboard and statements are on the B2B plan. Compare plans.
Questions about this
Do I have to set payment terms on every Shopify order?
No. Terms set on the order are used when present. Otherwise the invoice takes your default terms from the app's settings: Net 15, 30, 45, 60 or 90.
Does Qixeo take payments?
No. Your customers pay you directly, by ACH, check or wire, using the Remit To details on the invoice, and you record the payment in the app. On Growth and above you can also send a Shopify checkout payment link for card payments.
Can I record a part payment?
Yes. Enter the amount you received. The invoice moves to Partially paid and shows the balance due, on screen and on the PDF.
Why didn't an overdue invoice get a reminder?
Reminders need the B2B plan, reminders switched on, and an invoice that is approved or sent with a due date, a balance and a customer email. The usual cause is no due date: with terms of Due on receipt and no payment terms on the Shopify order, an invoice has none.
Does marking an invoice paid update the Shopify order?
Not by itself. Once every invoice for an order is paid, the app offers a Mark order as paid in Shopify button.
