Accounts receivable for Shopify: aging, statements, and a customer portal.
See what you are owed and how late it is, send statements without thinking about it, and give every buyer a private page with their open invoices, credits and a way to pay.
Shopify shows you orders. This is the money.
Once you sell on terms, the question changes from "did it ship" to "who owes us what, and since when". Shopify has no answer to that. Qixeo keeps the receivable for every per-shipment invoice and shows it three ways: a dashboard for you, a statement for the customer's AP team, and a portal for the buyer.
The receivables dashboard
b2bAt the top, the total outstanding split into aging buckets by days past the due date: Current, 1 to 30, 31 to 60, 61 to 90, and over 90. Invoices with no due date count as Current; drafts are not included.
Below, one row per customer with their open invoice count, how many are overdue, the age of the oldest, and their balance. From the row you can download or email their statement. Export CSV downloads the table.
Statements, by hand or every month
A statement is a PDF listing a customer's open invoices with PO number, due date, status, total, amount paid and balance, followed by the total due, an aging summary and your Remit To details. Credit notes reduce the total.
Download or email one from the Statements list whenever you like, or tick Send monthly statements automatically and choose a day of the month. Every customer with an open balance gets one that day, in your store's timezone.
A portal your buyers don't have to log in to
Each customer has a private page showing their total balance due, the same aging buckets, and their open invoices and credits, each with a PDF download, plus a button to download their full statement. If you use payment links, invoices with a link show a Pay button.
There is nothing to set up. The link is included in every reminder and statement email, labelled "View & pay in your account", and needs no login. Each link contains a long random token and can't be guessed; treat it like the invoice email itself.
And for every order, a status page
every planSeparately from the portal, every order gets a private status page linked from the invoice email. It greets the customer by name and shows one card per shipment with the date, tracking link, items, invoice number and total, then a "Still to come" list of what hasn't shipped. You set the brand color, layout, which sections show, and the header and footer text. Pro and above can remove the Qixeo branding.
Plans
The receivables dashboard, statements, automatic monthly statements and the customer portal are on the B2B plan, together with payment reminders and QuickBooks Online sync. The order status page is on every plan; credit notes and payment links are on Growth and above. Compare plans.
Questions about this
What do my customers see?
An email with the invoice PDF attached and a link to a status page for their order, showing each shipment, tracking and what is still to come. On the B2B plan, reminder and statement emails also link to a portal with all their open invoices. Neither page needs a login.
Are the status page and portal links secure?
Each link contains a long random token and can't be guessed, but anyone who has the link can open the page. Treat them like the invoice email itself.
Can buyers pay from the portal?
If you use payment links (Growth and above), invoices with a link show a Pay button that opens a Shopify checkout. Buyers paying by ACH, check or wire use the Remit To details, and you record the payment in the app.
Can I remove the Qixeo branding?
On Pro and above, tick Remove Qixeo Invoice branding under the Customer Status Page settings.
What if an order has no customer email?
The invoice is still created and you can download the PDF. It can't be emailed, and it won't receive reminders or appear on statements, which are grouped by customer email.
